Title: Community Services Administrative Assistant, Full Time
Location: FDL Tribal Center
Supervisor: Community Services Director
Closing Date: May 20, 2022
Rate of Pay: $18.00 to $21.00 per hour


General Summary:

Assists Director with administrative duties pertaining to all departments within Community Services. Gain through knowledge pertaining to Energy Assistance and Food Distribution. Assists and provides back up services for Energy Assistance, Food Distribution Programs as requested by the Director.

Position Responsibilities:

  • Assists director with reports and correspondence.
  • Arranges administrative meetings.
  • Prepares purchase requisitions for Energy Assistance and submits purchase requisitions for payment.
  • Provide applicants and the community at large with information about available Energy Assistance, Crisis, and weatherization programs.
  • Acquire and maintain a through working knowledge of the eHEAT program.
  • Assist applicants with the registration and income verifications process, including an income verification source as necessary to insure income verification is accurate. Determine applicant eligibility and explain program operation to participants. Notifies applicants when applications are missing information.
  • Process energy assistance applicants, and inputs applications into the eHEAT program; adhering to established program guidelines.
  • In crisis situations, verifies client’s utility bill status via communication with energy vendor, approves initial payment to energy vendor (within program guidelines) and assures payment in a timely manner to prevent disconnect orders.
  • Record intake data on appropriate forms/computer programs, maintain confidential files of all intake forms and maintain program files. Ensures that the client file contains all necessary documentation.
  • Ensures that all clients are treated in a fair and equitable manner.
  • Knows local emergency contacts for individuals who have exhausted their emergency funds.
  • Fills in where necessary in the Community Services Division which may include work in or from other departments in the division.
  • Orders and or picks up supplies as requested.
  • Appropriate work attire is required.
  • Must attend all mandatory department trainings.
  • Ensures confidentiality of financial records and all records for employees and/or clients.
  • Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.
  • Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.
  • Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
  • Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.
  • Maintains a clean and organized work area.
  • Due to changes and modifications in the job from time to time, employees are required to be flexible and assume other responsibilities assigned by management as deemed necessary.

Physical Requirements:

  • Prolonged sitting and standing, with some lifting and walking are required.

Position Qualifications:

  • High school diploma or GED is required. Course or experience in work in Human Services, bookkeeping, or data entry is preferred.
  • Knowledge of computer applications to include word processing, databases and/or data entry, spreadsheets and Microsoft Outlook is required.
  • Experience in working with a culturally diverse population is required.
  • Possesses a good working knowledge of the Reservation, county, state, and federal assistance programs in the area.
  • High level of customer service is required.
  • Ability to communicate effectively orally and in writing is required.
  • Ability to work independently and establish priorities is required.
  • Attention to detail and accuracy is required.
  • Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
  • Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation’s Personnel Policies.
  • Subject to pre-employment and annual background checks.
  • Subject to immunization review and submitted proof of required vaccinations.
  • Travel is required.
